What you'll accomplish
By the end of this guide, you'll have Fireflies.ai connected to your calendar and ready to join your Zoom or phone calls. After each buyer call, you'll automatically receive a full transcript with action items highlighted — copy it into your CRM in 30 seconds instead of writing notes from memory.

What you should see: The Fireflies dashboard showing "Upcoming Meetings" pulled from your calendar, and an empty "Recent Transcripts" section.
Troubleshooting: If your calendar doesn't connect automatically, go to Settings → Integrations → Google Calendar or Outlook Calendar → click Connect.

For your next scheduled Zoom buyer consultation:
What you should see: "Fireflies Notetaker" appears in the Zoom participant list, usually with a logo avatar.
Troubleshooting: If the bot doesn't join, check that the calendar invite matches your registered email. You can also invite Fireflies manually: In your Fireflies dashboard → click "Add to Live Meeting" → enter the Zoom meeting link.
Continue your buyer consultation as you normally would. Discuss floor plans, budget, timeline, concerns — don't worry about taking notes. Fireflies captures everything.
Within 5 minutes of ending the meeting, you'll receive an email from Fireflies with:

After receiving a Fireflies transcript, use these prompts in Claude or ChatGPT to process it further:
Turn transcript into a CRM note: "Here is the transcript of a 20-minute buyer call: [paste transcript]. Write a 3-paragraph CRM note summarizing: 1) what the buyer is looking for, 2) their concerns, 3) the next steps we agreed on."
Extract objections for follow-up: "Here is a call transcript: [paste]. List every hesitation or concern the buyer expressed and suggest a brief response to each one."
Draft the follow-up email: "Based on this call transcript: [paste]. Write a follow-up email to the buyer summarizing what we discussed and confirming the next steps."
