By the end of this guide, you'll have a personal library of 10–15 pre-written response templates for the most common web lead scenarios — stored in a document you can access from your phone in seconds. When a new lead comes in from NewHomeSource, Zillow, or your builder's website, you respond in under 3 minutes without staring at a blank screen.
What you'll need
Think about the last 20–30 web leads you received. Most consultants find 8–10 recurring scenarios:
Write down your 10 most common types. Add any that are specific to your community.
Go to claude.ai → start a new conversation. Paste this setup:
I'm a new home sales consultant for [Community Name] in [City, State] by [Builder Name]. Homes from $[price] to $[price]. [Floor plan names]. Build time [X] months. HOA: [amount or none]. [Any standout features — e.g., "no city taxes, large lots, top-rated schools"].
I need to build a lead response template library. I'll describe a buyer scenario, and you'll write a response template with [BRACKETS] for the parts I'll customize before sending. Each template should be under 120 words, friendly and personal in tone, and end with a clear next step. Ready?
After the setup, request each template:
Template 1: "Write a template for: a buyer who submitted a web inquiry form saying they're interested in learning more about the community. No other details. First contact — they've never spoken to me."
Template 2: "Write a template for: a buyer who is relocating from out of state and can't visit in person yet. They want to know about the community and floor plans."
Template 3: "Write a template for: a buyer who is explicitly comparing my community to one or two others. They want to know 'what makes you different.'"
Template 4: "Write a template for: a buyer asking if there are any move-in-ready spec homes available right now."
Template 5: "Write a template for: a first-time homebuyer who seems nervous about the process. They asked about 'how it all works.'"
Continue until you have templates for all 10 of your common scenarios.
