What you'll accomplish
By the end of this guide, you'll have Fireflies.ai connected to your calendar and ready to join your Zoom or phone calls. After each buyer call, you'll automatically receive a full transcript with action items highlighted — copy it into your CRM in 30 seconds instead of writing notes from memory.
What you'll need
- A Fireflies.ai account — free at fireflies.ai (free plan: limited transcription; $18/mo Pro for unlimited)
- Your work email address and access to your Google Calendar or Outlook Calendar
- Most value comes from Zoom or Google Meet calls; phone calls require the mobile app
- Time needed: 20 minutes to set up; automatic after that
- Cost: Free tier available; $18/mo Pro recommended for heavy users
How-To Guide: Phone Call Transcription with Fireflies.ai
Step 1: Create your Fireflies account
- Go to fireflies.ai
- Click "Try for Free"
- Sign up with your Google or Microsoft account (same one linked to your work calendar) — this is important for the calendar integration
- Complete the brief onboarding (select "Sales" as your use case)
What you should see: The Fireflies dashboard showing "Upcoming Meetings" pulled from your calendar, and an empty "Recent Transcripts" section.
Troubleshooting: If your calendar doesn't connect automatically, go to Settings → Integrations → Google Calendar or Outlook Calendar → click Connect.
